Profile guidance

Use cases and recommended profiles

VisitKeeper currently includes three built-in profiles: General, Ministry, and Care & Field. Different workflows can still be supported today by choosing the profile that fits best. As demand becomes clearer, additional dedicated profiles can be added where the field names, defaults, and workflow structure truly need to change.

Real workflow examples

Use the profile that matches how you follow up

VisitKeeper is built around practical records: contacts, visit history, notes, location context, and next steps. Profiles help keep that structure aligned with the kind of field work being done.

These are workflows that can already be served with the profiles currently included in VisitKeeper.

Recommended profile

General

Flexible starting point for broad personal or professional visit tracking

General is the simplest profile and works well when you want VisitKeeper's core visit workflow without more specialized labels or defaults.

  • Best for lighter personal use, general follow-up, and broad workflows that do not need specialized fields
  • Useful when you want a clean structure for contacts, visits, notes, appointments, and reminders
  • Why it fits it stays flexible without pushing extra fields into the workflow
  • Good choice for users still evaluating how they want to structure their records
Included profile

Care & Field

Stronger field workflow for outreach, family advocacy, and work that needs richer visit context

Care & Field is the most specialized profile currently included and is the recommended fit for several supported use cases that need more than General provides.

  • Time Tracking enabled by default with related tools on Home, Calendar, and individual Visit screens
  • Photos increased to five where more visual context matters
  • Field-specific naming such as Risk Flag, Emergency Contacts, and Reference Numbers
  • Best for outreach and mutual aid, foster care and family advocacy, and other field-based support work

Current workflows and what we recommend

These are examples of real use cases that can already be supported today by choosing the profile that fits best.

Outreach & Mutual Aid

We currently recommend Care & Field. It is the best fit when visits are place-based, referrals matter, conditions can change quickly, and you need stronger field context tied to each contact or visit.

Foster Care & Family Advocacy

We currently recommend Care & Field. It supports home visits, family and support contacts, follow-up continuity, and the kind of record detail that makes advocacy work more practical on mobile.

Faith-Based Ministry

We currently recommend Ministry. It is the most natural fit for ministry-related visits, support follow-up, and relationship-centered records where the terminology and tone should feel closer to the actual work being done.

Planned profile support

These workflows appear strong enough to justify more tailored profile support over time, because the field names, defaults, or workflow structure deserve more specialization than the current profiles provide.

Planned profile support

Volunteer Visitor Programs

Structured participation and coordinator-aware visit tracking

This workflow deserves more than a generic record layout because program participation, repeat visits, and coordinator context all matter in ways that do not map neatly to today's included profiles.

  • Likely emphasis program participation tracking
  • Likely emphasis coordinator and staff context
  • Likely emphasis repeat visit workflows for formal visitor programs
Planned profile support

Recovery Support

Check-ins, milestones, and support relationship continuity

Recovery support deserves dedicated terminology and defaults because sponsor or peer relationships, check-in cadence, and milestone awareness are central to the workflow.

  • Likely emphasis recurring check-ins
  • Likely emphasis milestone tracking
  • Likely emphasis sponsor and support relationship continuity
Planned profile support

Mentorship & Education Support

Goals, sessions, and support contacts in a more education-oriented structure

This workflow benefits from more tailored field names because goals, session types, guardian or support contacts, and education-oriented follow-up are central to how records need to be organized.

  • Likely emphasis goals and session history
  • Likely emphasis guardian and support contacts
  • Likely emphasis education-oriented follow-up

Wondering whether your workflow needs its own profile?

Most people do not need a brand-new profile just because their work is unique. A separate profile becomes useful when the record layout, field names, or defaults need to change in a meaningful way.

You may not need a separate profile

Many workflows can already be handled well with General, Ministry, or Care & Field. If the current profile fits your records and keeps the workflow practical, that is often the best place to start.

A dedicated profile makes sense when the structure needs to change

A new profile becomes worth building when your work consistently needs different field titles, different visible fields, stronger defaults, or tools that should be on by default for that workflow.
